Introduction
Periodic Review is a feature you can activate on guides to prompt review at regular intervals.
How is Periodic Review Useful?
Periodic Review has been designed to help you more easily review and approve documented standards, which helps with organization as well as compliance. For example, this is a necessity for ISO 9001:2015 regulation 7.5.2c, which specifies that organizations shall ensure "appropriate review and approval [of documented information].
In addition, this is a useful feature for managing internal documentation, as it lets you proactively check for out-of-date content rather than waiting for it to be reported.
Who Uses Periodic Review?
Any User on your Dozuki site with Editing privileges can set and edit a Periodic Review schedule, not just the document's owner.
-
-
In Editing view on any guide, click the Review tab.
-
Click Enable to open further options to set up a periodic review cadence.
-
-
-
The Recurrence is the exact date on which the guide is up for review.
-
Set Exact date to recur annually for content that must be reviewed annually, by a specific date.
-
You can set a Custom recurrence date for content to be checked at a specific date in the future.
-
This is a must for documents that require review more often than once a year, but you can also use it for documents that only require review every few years
-
-
-
It is important to note that if a document is updated within its Recurrence window, the editor can satisfy the requirements for a Periodic Review.
-
When creating a new release, you will be prompted with this question. Tick the Yes checkbox to confirm that you, the editor, have reviewed the document.
-
-
-
Enter a number into the field to specify a Completion Window for the reviewer, between the time they're assigned the review and the review due date.
-
For Custom Recurrences, this is where you can specify the exact number of days between each review. This would be an example of a document that was up for review quarterly.
-
Click Save to finalize your changes.
-
-
-
Setting or editing a periodic review schedule does not create a new draft of the guide, meaning the schedule can be freely adjusted by anyone who has editing privileges on that guide.
-
This means that approvers assigned to that guide's approval process will not be notified of a change.
-
-
-
The same functions available on an individual guide can also be set as site defaults.
-
On the Management Console, under Configuration > General, scroll down to the Document Control and Periodic Review sections.
-
In Document Control, you can set a site-wide toggle to require all guides have a periodic review schedule set up before publishing.
-
In Periodic Review, you have the same options to set cadences (Recurrences) and Completion Windows, only as site-wide defaults instead of for individual guides.

Who is prompted to review the guide? Is it only the Author? Or are others also notified?
